Help Desk & Resource Center
Start with your hotel, import your lists, then work through the contacts worth calling.
1. Choose your hotel and add users
- Sign in and check the property selector. The hotel’s inncode identifies the property you are working in.
- Your hotel Admin opens Hotel settings → Team & access to invite a teammate. Use their work email and choose the appropriate role.
- The teammate accepts their invitation and signs in. An invitation alone does not purchase another paid calling seat.
- The Admin reviews paid seats and calling allowances before enabling additional callers. Check the selected hotel before changing billing or permissions.
2. Upload your contact list and booking history
- Open Import data and upload your contact list, then your booking history. CSV and Excel files are supported.
- Review the column mapping before confirming the import. Include booking IDs or Quote # values when available.
- Review unmatched contacts. Exact IDs connect contacts to bookings; a similar name alone does not guarantee a match.
- Choose a worklist period and use the filters to keep relevant business types and quote statuses.
Uploading records does not place phone calls. Check the import summary before uploading the same report again.
3. Find groups for a need date
- Open Need Date Finder and choose a future date that needs business.
- Review past groups with matching arrival patterns, then adjust the business-type and quote-status filters.
- Check each group’s dates and contact details before adding it to your calling list.
Historical matches identify possible prospects. They do not confirm availability, interest or a future booking.
4. Make and record a call
- Select bookings in the worklist and choose Add to Dialer, then Open dialer.
- Select your calling list and choose Prepare contact. Review the name, hotel history and phone number.
- Choose Connect microphone and allow microphone access. Use Audio settings to check your headset.
- Choose Call now when you are ready. Preparing a contact or connecting audio does not start an outbound call.
- When the call ends, choose an outcome and save relevant notes or a follow-up. Use Do not call when requested.
- Save outcomes, then choose Finish & next contact. Use Stop calls to end an active batch.
Single-line calling is the default. Triple-line calling requires separate hotel access and can attempt up to three numbers. Review every finished outcome before continuing.
Open dialer practice to learn the workflow before contacting customers.
5. Review usage and billing
Booking Window Finder stays free. Dialer and Need Date Finder have a seven-day trial or 50 calls, whichever comes first, starting when your hotel’s numbers go live. After the trial, choose Standard, Pro or Elite to continue those features. Your free worklists and hotel records remain available. Existing trials retain their original end date.
Open View credit usage in the dialer to see the current hotel wallet and your personal allowance. Personal allowances draw from the hotel balance; they are not extra funds.
The billing screen shows the currently enforced calling limits. Your Admin manages seats, allowances and purchases. Annual billing keeps monthly allowance refills; it does not release a full year of calling capacity upfront.
Review the total charge and billing period in checkout before paying. Standard is $197 per user/month or $1,970 per user/year; Pro is $297 or $2,970; Elite is $397 or $3,970. Teams have 1–10 named users with no volume discount. Included monthly minutes are 2,000 / 3,000 / 4,000 per user, pooled within the hotel. Attempts to included US local/mobile numbers have no fixed count quota. Extra minutes cost $79 per 1,000 and always require an Admin-confirmed purchase. Existing subscriptions keep their purchased terms. Read the calling policy.
Get unstuck
My microphone will not connect
Allow microphone access for app.hotelsalesteam.com, select the correct device in Audio settings, and check that another application is not using your headset.
Call now is unavailable
Prepare a contact and connect the microphone first. Then check the phone number, hotel calling access and available allowance. A blocked or do-not-call contact cannot be called.
I cannot add users or change billing
Check that you selected the correct hotel and have Admin permission. Ask your hotel Admin to review your role and paid calling-seat access.
Usage looks delayed
Open usage troubleshooting and choose Refresh confirmed usage. Avoid starting another call while the previous batch is still ending.
For a support request, record the hotel inncode, the action you tried, the exact error and its time. Share these with your hotel Admin. Keep passwords, API keys and payment-card information out of support messages.
